LedgerCleanerfor QuickBooks® Desktop exports

Windows app · for QuickBooks® Desktop exports

Messy ledger exports in. A clean PivotTable workbook out.

LedgerCleaner turns QuickBooks® Desktop “Transaction Detail by Account” Excel exports into one ready-to-use workbook: a fiscal-quarter pivot, a filterable Summary, a flat Transactions table and a Sources sheet. Combine as many ledgers or clients as you like.

  • Works fully offline
  • Totals tie to QuickBooks to the penny
  • Monthly re-imports replace, never double

QuickBooks Online isn’t supported yet. Online support is planned.

The Quarters PivotTable LedgerCleaner builds from the two Bluebird sample ledgers: revenue, cost of goods sold and operating expenses by account, with fiscal quarters across the top and a grand total of 5,024.31.

Before and after

From a report you can’t filter to a table you can pivot

A QuickBooks Desktop ledger export is laid out for printing, not for analysis. LedgerCleaner reads that structure and rebuilds it as proper Excel tables.

Before: the raw export
A raw QuickBooks Desktop General Ledger export for the made-up Bluebird Bakery Ltd. (SAMPLE): letterhead rows, headings on row 4, account names indented across columns B and C, and Total rows between accounts.

Swipe to see the whole sheet →

  • Three rows of letterhead before the headings even start
  • The account hierarchy lives only in how far a label is indented
  • Total … rows after every account get in the way of filters and pivots
  • One file per ledger, one ledger per client
After: one clean workbook
The combined workbook’s Quarters PivotTable for both Bluebird sample companies, with Ledger and Type filters and net amounts per fiscal quarter.

Swipe to see the whole sheet →

  • Both sample companies in one workbook, filterable by Ledger
  • Category → account rows, fiscal quarters across the top
  • Grand total matches the QuickBooks TOTAL rows exactly
  • Plus a Pivot sheet, a filterable Summary, Transactions and Sources

Sample data only. Both images are built from “Bluebird Bakery Ltd. (SAMPLE)” and “Bluebird Catering Inc. (SAMPLE)”, the made-up exports that ship with the app (press Try sample). The fiscal year in this example starts in April. They’re rendered mockups of the Excel sheets, using the real figures LedgerCleaner produced from those files. No real client data is shown. Download the sample workbook (.xlsx) and open it in desktop Excel.

Who it’s for

Built for people who live in ledger exports

Multi-client bookkeepers

Export each client’s ledger, drop them all in, and get one workbook you can slice by client, category, account or payee. Each ledger is named from its company and report title, so two clients with “General Ledger” exports never get mixed up.

Controllers consolidating entities

Bring several company files together on any fiscal year. Quarters follow the month your year starts, not the calendar, and each month’s cumulative export replaces last month’s rows instead of stacking on top of them.

How it works

Three steps from export to pivot

1

Export from QuickBooks Desktop

Run Reports › Accountant & Taxes › Transaction Detail by Account with Debit and Credit columns, then send it to Excel as a new .xlsx workbook. A step-by-step export guide is built into the app.

2

Drop the files in

Add one ledger or a dozen, from any folder. Pick the month your fiscal year starts, then choose a new workbook or add to an existing one.

3

Open the pivot

The workbook opens on a ready-made PivotTable that builds itself from your data. Drag fields to rearrange it, or filter the Summary instead.

Features

Everything in one workbook

Ready-made PivotTable

Category › Sub-Category › Account › Name down the side; Debit, Credit and Net Amount as values; Ledger and Type filters on top.

Fiscal-quarter pivot

A second pivot with FY2026 Q1, FY2026 Q2… across the top, counted from whichever month your year starts.

Filterable Summary

Filter arrows on every column, and totals that re-add themselves to match whatever you’ve filtered to.

Flat Transactions table

One row per ledger line, with account codes and the full account path, clean dates and real numbers. Every row records the file and row it came from.

Combine ledgers and clients

Merge several exports into one workbook, or add next month’s file to the workbook you already have.

Re-import without doubling

A newer export of the same ledger replaces its old rows. A different client is never silently overwritten: you choose Replace, Keep both or Skip.

Ties to the penny

Account subtotals and the grand total reconcile with the Total rows QuickBooks printed in the original export.

Clear errors, never guesses

A file with an Amount-only layout, unreadable amounts, an old .xls or an Online export is refused with a message saying how to fix it.

Sources sheet

Every file imported, with its ledger, period, basis and row count, so you always know what’s in the workbook.

FAQ

Questions, answered

Does it work with QuickBooks Online?

Not yet. LedgerCleaner reads QuickBooks® Desktop exports only. QuickBooks Online lays out its ledger report differently, with a single Amount column and grouped rows instead of indented accounts. LedgerCleaner recognises an Online export and tells you so rather than misreading it. Online support is planned, and it will be added once it has been tested against real Online files.

Windows says “Windows protected your PC”. Is it safe?

LedgerCleaner isn’t code-signed yet, because code signing needs a paid certificate. So on first run Windows SmartScreen shows “Unknown publisher”. Click More info › Run anyway. You only need to do this once.

Because the file isn’t signed, please check your download first. Every release lists its SHA-256 checksums in SHA256SUMS.txt. In PowerShell, in your downloads folder, run:

Get-FileHash .\LedgerCleanerSetup-1.5.0.exe -Algorithm SHA256

The hash it prints must match the line for that file in SHA256SUMS.txt. If it doesn’t, don’t run it: download it again and get in touch.

What’s your refund policy?

If LedgerCleaner doesn’t work with your QuickBooks Desktop exports, email us within 14 days of purchase for a full refund. Try the built-in sample and the export guide first: most problems are a report setting.

Is there a Mac version?

No. LedgerCleaner is a Windows 10/11 app, and the PivotTables it builds need desktop Excel for Windows.

Does my data get uploaded anywhere?

No. Everything happens on your PC, with no internet connection needed. Your ledgers never leave your computer.

What happens when I import next month’s export?

Monthly exports are usually cumulative, so a newer export of the same ledger replaces the rows already in the workbook instead of adding to them. Nothing is counted twice. If a file’s ledger name matches a different company, you’re asked whether to keep both, replace or skip. Another client’s ledger is never silently overwritten.

Can I try it before buying?

You can see real output now: download the sample workbook, built from the two made-up Bluebird ledgers. Open it in desktop Excel and the pivots build themselves.
